Administrative Manager (Office of the VP and Provost)

Job Description Summary

Montgomery College, Rockville Campus, has an immediate need for a full-time Administrative Manager #S03290 in the Vice President and Provost Office. The normal work schedule is 8:30am-5:00pm. Manager must be flexible to work some evening and weekend hours. This position is non-bargaining, exempt, grade 31.

Job Summary:

The Administrative Manager is responsible for providing leadership, oversight and guidance for the day-to-day operations of the Office of the Vice President and Provost. This position handles special projects and provides administrative, managerial and/or technical support for systems, processes, communications, meetings and other related activities. Contacts and interaction vary and may involve multiple constituencies such as direct interaction with the general public, higher education associations, Board members, representatives of outside organizations/agencies, campus administrative team, provost, deans, campus directors, faculty chairs, faculty, students and assigned staff, for the purpose of providing and exchanging information.

Job Description

Duties and responsibilities include but are not limited to:

  • Manages the Office of the Vice President and Provost (VPP) and supervises the work of its staff and student employees. Handles most matters needing the assistance of the Office of the VPP but not needing the direct attention of the Vice President and Provost.

  • Serve as a liaison to both internal and external organizations and constituents on behalf of the VPP and represent the campus at events and in a variety of activities.

  • Oversees the preparation and collection of materials prepared for action by the VPP. Briefs the VPP on actions needing attention. Drafts and proofreads special memoranda, letters, reports, speeches and remarks for the VPP; edits drafts from campus administrators, faculty and staff when appropriate.

  • Prepares and manages the budget of the Office of the VPP, monitor expenditures and coordinate the preparation of monthly reports.

  • Provide leadership, oversight and guidance for the day-to-day operations of the VPP office including but not limited to development and preparation of budgets, purchasing/procurement, assigned staff, communications, formulating and implementing policies and other related activities.

  • Conduct studies, develop strategic and tactical plans, setting operational goals and objectives.

  • Draft and proofread special memoranda, letters, reports, and speeches.

  • Produces and maintains reports and ensures accurate of data obtained or extracted from the College's student or personnel data systems.

  • Prepares Web-based survey or other data collection mechanisms as needed to obtain and evaluate constituency opinions or needs.

  • Coordinates the logistics for VPP events in collaboration with the office of the SVP, Institutional Advancement, or the Office of the President.

  • Assists in the development and distribution of content for the VPP's Web site, twitter feed, and other social media outlets.

  • Takes initiative to identify and communicate information relevant for faculty, staff, and students related to the Rockville campus and the ABEESS unit.


Required Qualifications:

  • Bachelor's degree in business or a related field, and/or any combination of education, training, and experience providing understanding of the field.

  • Five years progressively responsible administrative/managerial experience in an institute of higher learning or similar environment.

  • Experience working with internal and external groups.

  • Experience supervising and/or leading the work of others.

  • Ability to prioritize and move between multiple competing demands.

  • Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship.

Preferred Qualifications:

  • Master's degree in Management, Education (English) or closely related field.

  • Demonstrated ability to write near final drafts of memoranda, letters, reports and speeches.

  • Demonstrated skills in utilizing social media and web based communication.

  • Ability to evaluate data and utilize it effectively for decision making.

  • Teaching experience working with a diverse student population.

  • Strong organizational skills.

  • Collaborative team player.
